Steps to LUXE Becoming Your Preferred Vendor

Step 1

Establish Communication: The dealership will initiate the process by contacting LUXE via email. They will send the required documents to vendor@luxeautodetailkc.com, including the

  • Dealership W-9 Form

  • Dealership Code of Ethics Form(s)

  • Dealership Tax Exempt Certificate

  • Vendor Certificate of Insurance

Document Completion: LUXE will carefully review the emailed documentation received from the dealership and ensure that all the necessary fields are accurately completed, signed, and dated as required.

Return Email: Once LUXE has completed the required documentation, they will send an email back to the dealership. The email will contain the completed and signed documents as attachments. LUXE will clearly indicate in the email that they are ready to proceed with the on-boarding process as a Preferred Vendor.

Vendor On-boarding: Upon receiving the email from LUXE, the dealership’s vendor management team

will review the documentation to ensure its accuracy and compliance. If everything is in order, LUXE will be added to the dealership’s list of Preferred Vendors.

Confirmation: The dealership will notify LUXE of their successful on-boarding as a Preferred Vendor. This communication can be done via email or phone, confirming LUXE’s preferred status and providing any additional information or guidelines that may be necessary.

Maintain a Professional Relationship: As a Preferred Vendor, LUXE will prioritize maintaining a positive and professional relationship with the dealership. The LUXE team will consistently deliver high-quality services, meet deadlines, and provide excellent customer service to ensure the status as the dealership’s #1 preferred detailing vendor.

By following these steps, LUXE will remain the #1 preferred vendor for the dealership and establish a mutually beneficial and lasting partnership.

Step 2

The LUXE Client Request Portal is a convenient and streamlined platform designed to make scheduling our services as easy as possible.

Through this portal, you can request a range of services without the need to download any additional software or applications.

To access the portal, simply follow the steps below:

  • Check your inbox for an email from LUXE. This email contains an invitation link.
  • Click on the invitation link provided in the email.
  • Once you’ve clicked the link, you will be directed to the Client Request Portal.
  • Follow the instructional prompts on the portal to proceed with your request.

When using the Client Request Portal, please ensure to complete the following steps:

  • Specify the Service(s) Needed: Whether it’s an Interior Detail, Exterior Detail, Odor Removal, Pet Hair Removal, or any other service, kindly provide us with detailed information on what needs to be done.
  • Enter your Vehicle Information: Provide the Year, Make, Model, and Color of your vehicle. Additionally, include the PO#/RO#/CN# associated with the service, if applicable.
  • Attach the Original “Work Order Request” Document: Please ensure that you attach the relevant document outlining the specific requirements for the service and General Manager Name “Print and Signature” Approval.
  • Enter your Contact Information: Provide your email address (e.g., john@example.com) as your primary contact information.

Once you have completed these steps, click on the “Submit” button. This will notify our team at LUXE, and we will swiftly process your request.

Rest assured that upon receiving your submission, we will promptly dispatch the first available detail specialist team to your location. Our goal is to attend to your service needs within 2 to 48 hours, ensuring a timely and efficient experience.

Step 3

Step Three: Invoicing the Client

Upon completion of your detail services, LUXE will email the client an invoice. The invoice will include a detailed breakdown of the services provided, along with any applicable taxes or fees. The client will be notified via email that their invoice is ready for review and payment.

Client’s Responsibility:

Once the client receives the invoice, it is their responsibility to review the details and ensure its accuracy. If there are any discrepancies or questions regarding the invoice, the client should contact LUXE immediately to resolve any issues.

Payment Remittance:

To facilitate the payment process, the client is required to

send the Preferred Vendor invoice to the dealership’s home office unless other previous arrangements have been made with LUXE Receivables department. The invoice should be forwarded to the designated department responsible for handling payments. The client should follow any specific instructions provided by the dealership for submitting the invoice.

Payment processing timelines may vary depending on the dealership’s internal procedures. It is advisable for the client to maintain open communication with the dealership’s home office to track the progress of the payment remittance.

Upon receipt of the invoice at the dealership’s home office, the designated department will initiate the payment process. They will verify the details, reconcile any necessary documentation, and process the payment accordingly within the contract vendor agreement net terms established.

LUXE’s Support:

Throughout this process, LUXE will be available to assist the client with any inquiries or clarifications they may require. LUXE’s customer support team can be reached via email or phone during regular business hours Monday through Friday from 8:00 AM to 5:00 PM Central Standard Time.

By promptly invoicing the client and offering ongoing support, LUXE aims to ensure a smooth and transparent invoicing process, as well as an efficient payment experience for all parties involved.
